Event Terms & Conditions
Acceptance of Terms
The event ticket is issued subject to the terms and conditions set out below (‘The Terms and Conditions’). The purchase of a ticket constitutes acceptance of the Terms and Conditions.
Event Cancellation Policy
Although we hope it never happens, there may be certain reasons beyond our control, for which, we may need to cancel or postpone one or more events. In such situations, we will notify you as far ahead of time as possible, so you can plan accordingly.
- In case of cancellation by SUGSA, we will refund the full conference or event fees. Refunds will be issued within 21 business days after the scheduled conclusion of the event.
- In case the conference or event is postponed, we won’t be able to offer a refund. If you are not able to attend the event on the new dates, you can either nominate another person or use the funds towards any future events.
We apologise that SUGSA cannot, and does not, make any exceptions to this policy.
Kindly note that we will not be liable for any losses or damages arising as a consequence of such cancellation(s).
Attendee Cancellation Policy
If you are unable to attend an event, a replacement delegate may be sent in your place at no extra charge. Notification must be made in writing and received to info@sugsa.org.za prior to the event commencing.
Cancellations may be made up to 30 days prior to the event and will be subject to an administration charge equal to 20% of the total ticket price. Tickets will not be refunded for cancellations made less than 30 days prior to the event.
Any cancellation must be made in writing and sent by email to info@sugsa.org.za.
If booking within 7 days of the event start date, full payment is required and due at time of booking.
Sharing of Tickets
SUGSA does not allow shared tickets. Each ticket allows admittance of one person only.
Change of Program Content, Format and/or Event Timing
SUGSA will endeavour to ensure that conference programs are correct at the time of the event. Unfortunately, we may need to alter the program prior to or during the event and reserve the right to do so without notice. We also reserve the right to change the format of the event or postpone the event (where no refund will be issued) or cancel the event (when full refunds will be issued). SUGSA will make available course documentation to any delegate who is unable to attend and who has paid in full. Unfortunately, some speakers request that their content is not distributed. SUGSA is not responsible for any loss or damage as a result of a substitution, alteration, format change, postponement or cancellation of an event.
Please note: not all speakers choose to provide their content or presentations.
Group Bookings
In order to receive a Group Booking Discount, all members of the group must come from the same organisation (or be included on the one invoice), be registered at the same time and registration must be finalised in a single payment.
Discounts
Individual discounts or Group Booking discounts will only be applied to the full ticket price and can not be combined with other discounts.
Payment
For individual and group attendee bookings, payment is required either at the time of booking or within 7 days of an invoice being issued. No admittance will be granted where payment has not been received in full unless a prior arrangement has been made in writing with SUGSA. If booking within 7 days of the event start date, full payment is required and due at the time of booking.
Contact by 3rd Party Notice
SUGSA does not share our attendee lists to partners and/or sponsors of specific events.
Recording of the Event
You consent to image, film and sound recording of the event as an attendee/member of the audience at the event. Furthermore, you consent to the use of such recording in any broadcast in any territory in the world.
Limited Liability
SUGSA excludes to the maximum extent permitted by law any liability for loss, injury or damage to persons or property in or around the venue. Any liability on the part of SUGSA shall be limited to the value of the ticket fee.
Governing Law
It is important that you comply with all relevant statutes, health and safety regulations and venue regulations when attending the event. In addition, it is necessary to comply with all reasonable instructions issued by SUGSA during the event. Failure to observe any of these Terms and Conditions will constitute a breach of contract enforceable in law and may result in legal actions by SUGSA. These Terms and Conditions are governed by South African law and the parties submit to the exclusive jurisdiction of the South African courts.
